Approving and rejecting a document

Approving a document is the authorised check that turns uploaded evidence into a qualification you can stand behind. An approver opens the file, sets the dates, and approves it, or rejects it with a reason that sends it back to be fixed and resubmitted.

This guide covers:

  • Opening a submitted document and viewing the uploaded file
  • Setting the gained date, and the competency level where the skill is graded
  • Approving the document, which creates or updates the training record
  • Rejecting with a reason so the worker can correct and resubmit

Approve with confidence that each sign-off is an attributable check, recorded against the worker with the evidence attached.

💡 Power User Insight: On approval the review date auto-fills from the skill’s validity period and the gained date — a one-year skill gained today fills to one year out — and you can adjust it before saving if the certificate says otherwise.
