Setting up expiry alerts

Expiry alerts are scheduled reports that tell you who is lapsing within a chosen window, before a ticket runs out. They turn passive, date-based expiry into active chasing, sent to the people who can act.

This guide covers:

  • Setting the lead-time window per alert — 90 days is the suggested default, not a fixed value
  • Putting the Training Expiry Alert on a schedule so it emails automatically
  • Defining the recipient list, with an option to also alert each affected worker directly
  • Staggering several alerts — say 90, 60 and 30 days — so a missed one is followed by the next

Set these up once and lapsing qualifications come to you on a schedule, rather than being found too late.

💡 Power User Insight: For a critical ticket, stagger 90-, 60- and 30-day alerts — if the 90-day notice isn’t actioned, the 60- and 30-day ones follow, giving the renewal several chances to land before expiry.
