Accounts and profiles explained

Accounts and profiles are the two records every worker rests on: one account says who a person is, and a profile tracks one of their inductions at one of your sites. Get this model right and every report, approval and integration reads from a clean, single source.

This guide covers:

  • Understanding the account — one per person, holding their name, contact, employer and the roles they hold
  • Distinguishing the profile — an account plus a workflow, tracking progress and approval at one site
  • Recognising that a worker holds one account but can hold several profiles at a site
  • Seeing how accounts are created — by an employer admin or by self-registration, then verified

Know the model and you can read any worker’s record with confidence, from first application through to ongoing currency.

💡 Power User Insight: A worker keeps the same account across every site and induction, so personal details and training records follow them — you are not re-creating a person each time they return.
